Operations Manager
Job Description:
The Operations Manager will report to the Finance and Operations Director and will oversee the daily operational functions of the organization to ensure efficiency, effectiveness, and compliance with organizational policies. This role is responsible for managing administrative, financial, and facilities-related activities, and ensuring the smooth execution of day-to-day operations to support A4L’s mission. A key focus will be managing the accounts payable process and maintaining accurate financial records. The Operations Manager will collaborate closely with leadership and cross-functional teams to implement strategies that support long-term sustainability and impact.
Responsibilities
Administrative and Operations Management
- Oversee office functions, including supply procurement, vendor relations, and equipment maintenance.
- Develop and monitor operational policies and procedures to enhance efficiency.
- Manage organizational licensing, insurances, certifications, and compliance processes.
- Maintain the programmatic database for tracking activities related to grants and contracts, ensuring accurate data entry and reporting for compliance and invoicing.
Accounts Payable and Financial Mangement
- Manage accounts payable activities, including verifying, coding, and entering invoices.
- Oversee payroll processing for 1099 contractors, including maintaining payroll schedules for accurate and timely compensation.
- Ensure timely and accurate payment of all vendor invoices and resolve any discrepancies.
- Assist in cash flow management by preparing accounts payable forecasts and coordinating payment schedules.
- Collaborate with the finance team to ensure proper expense allocation, reporting, and alignment with budget and funding guidelines.
Facilities and Asset Management
- Oversee the maintenance and safety of physical assets, including buildings and equipment.
- Coordinate with contractors, vendors, and landlords for facility maintenance, repairs, and leasing arrangements.
Qualifications:
- Bachelor’s degree in Business Administration, Accounting, Nonprofit Management, or a related field.
- At least 3 years of experience in operations, accounts payable, or financial management, preferably in a nonprofit setting.
- Strong understanding of nonprofit financial management, accounts payable processes, and compliance.
- Proficiency in accounting software (e.g., FundEz) and Microsoft Office Suite, especially Excel.
- Proven ability to manage multiple projects and priorities in a dynamic environment.
- Excellent communication and interpersonal skills.
- Strong attention to accuracy and detail.
- Excellent critical thinking and analytical skills.
- Collaborative team player who takes initiative, works independently, and quickly adapts to new processes and systems.

Working Conditions:
- This position may require occasional travel and work outside of regular business hours.
- Office-based with remote work flexibility.

Compensation:
Starting Salary Range: $48,000-$52,000 commensurate with experience; plus competitive benefits including health, vision, dental, disability, and life insurance.
